E-Class Record Templates: Using DepEd's Official ECR Files Correctly
DepEd's official E-Class Record templates are spreadsheet files with the DepEd Order 8, s. 2015 computation built in — organized per grade level and subject grouping. Use the official files, enter data only in input cells, and never edit formula areas.
Get the right template
ECR templates differ by grade band and subject structure — a template for the wrong grade level embeds the wrong weights. Download from official DepEd sources or your division's distribution, and confirm the weight table inside matches your subject before encoding anything.
Rules for not breaking the file
- Enter data only in designated input cells: names, highest possible scores, raw scores.
- Never insert or delete rows and columns inside computation areas.
- Do not retype formulas — if one breaks, restore from a clean copy and re-encode.
- Keep a dated backup after every encoding session, per our record-keeping guide.
When the numbers look wrong
Verify the HPS row is complete (missing highest scores skew percentages), check for learners skipped by sorting accidents, and hand-compute one learner using the steps in our computation guide. Nearly all “template errors” are input errors.
Printing and beyond
Set print areas per quarter summary, and export PDF copies as your submission record. If your workflow has grown past what a spreadsheet handles — multiple sections, attendance links, progress alerts — a dedicated automated system is the natural next step.
Frequently asked questions
Where do I download official ECR templates?
From official DepEd channels or your division office's distribution. Avoid modified copies circulating in groups, which often contain broken formulas.
Can I modify the ECR for my school's needs?
Cosmetic changes outside computation areas are usually safe; never alter weights, formulas, or the transmutation logic.
Is the ECR mandatory?
Schools set their required record format. Many accept the ECR as the working record with printed copies as official submission.
